Part-Time Client Service Associate
Atlanta, GA · Part-time, with potential to become full-time within 12 months
The Client Service Associate helps ensure that Felton & Peel Wealth Management consistently maintains its high standards of client service, bringing knowledge of wealth-management CRM, competency in financial services paperwork, a delight in multi-tasking, proven prioritization and organizational skills, and a desire to learn and contribute.
Client Relations
- Participate in client meetings and take thorough notes
- Execute paperwork for clients and respond to ongoing client requests
- Solve NIGO (Not In Good Order) issues as needed
- Facilitate 401k rollovers and Move Money order requests for clients
- Send appropriate statements and tax documents to clients as needed
- Schedule client appointments as prompted by workflows
- Communicate with clients prior to meetings by sending appropriate documents
- Follow up quickly and effectively on phone calls and emails as needed
- Communicate clearly on behalf of the lead planner with clients
Business Administration
- File documents and paperwork appropriately via Google Drive
- Answer the phone during business hours
- Support compliance efforts, including daily download and organization of trade confirmations
- Update firm documents/materials/PowerPoints as needed
- Manage office supplies
- Communicate clearly on behalf of the Principal with vendors and others
- Initiate and maintain various office procedures and processes
- Participate in collaborative conversations around client services, systems, and growth
- Perform other duties deemed necessary for business growth and support
CRM and Technology Support
- Document tasks, to-do lists, actions, and notes for clients within the CRM
- Manage CRM workflows: scheduling clients, meeting prep, meeting debriefs, notes, and task assignments
- Organize and design new workflows in coordination with the Principal as needed
- Produce semi-annual performance reports for each client
- Facilitate a smooth technology experience for clients, including user access and support
- Flag reports that need special attention or notification
- Daily update and maintenance of the CRM program, including timely addition of new clients/prospects, client segmentation, and client notes & data
- Maintain an up-to-date, organized list of clients in email servers
- Upload blogs as completed; assist in managing social media and the client newsletter
Education and Experience
- Minimum 3 years' experience as an Administrative or Executive Assistant or Office Manager
- Experience in the financial services industry required
- College degree preferred
Qualifications
- Skill in prioritizing workload and ability to multi-task
- Positive, willing attitude to perform a wide variety of tasks
- Ability to establish small-scale systems of office organization
- Proficiency in MS Office Suite and Google applications
- Familiarity with standard office equipment
- In-depth knowledge of CRM
- Ability to communicate well with people of all ages, backgrounds, gender, race, and ethnicity
- Willingness and ability to work during office hours, 9am – 5pm
Compensation
- Part-time position with the potential to become full-time within 12 months of hire
- Flexible work schedules and no vacation limit, as long as client work is completed in a timely manner and vacations are not taken during high seasons/client meeting surges
- Hourly rate: $30.00/hour
- Earn up to 5% of annual compensation via an annual bonus
